Terms & Conditions 2021

1 – Prices: our prices include 14 nights accommodation and full board and activities as described on the page of each centre. They also include GuardMe Insurance (https://www.guard.me/guard-me.php), all claims will have to be done directly with the insuring company, that as of 18/09/2020 does not cover cancellations for destinations out of Europe and the UK. Prices do not include Flights and airport transfers (which can be booked with us). If by time of your booking and confirmation, the above-mentioned insurance provider is not able to offer the services Trinity UK selected on the time of creation of their Summer Programmes, Trinity UK will be offering a different insurance package with a different provider. The new insurance could also differ from the original services that Trinity UK selected with GuardMe and in such a case, the final client will be notified accordingly. On week-ends and/or during Full Day excursions, a packed meal will be provided. The weekly travel card – where included – is intended to be used only when students and group leaders are on excursions with Trinity TS UK Ltd, and must be returned to our Activity Leaders upon return from the activity. It is not a personal travel card.

2 – Payments: Payments for individual students will have to be done via bank transfer, at the time of confirming student’s participation to the programme, A non-refundable fee of 70 GBP/100$/75€ will be charged in case of cancellations, This non-refundable fee also covers the cost of the insurance which will be activated from the very moment the student confirms their will to participate to our summer programme.

3 – Groups Payment: A group is considered to be made of at least 5 students and 1 Group Leader. 1 Free Group Leader is given each 10 paying students. Payments for groups will have to be done via bank transfer. 20% of the Total Invoice will be asked as deposit to confirm the group and their allocations. Balance due will have to be fully paid no less than 30 days prior the arrival of the group. In case no payment is received by the time of the arrival of the group on site, Trinity TS UK Ltd cannot guarantee any of the booked services. A non-refundable fee of 75GBP/100$/75€ per participant will be charged in case of cancellations. This non-refundable fee also covers the cost of the insurance which will be activated from the very moment we receive the name-list of the participants of the group from the agent, who will also be responsible to communicate to Trinity TS UK Ltd the list of names on which to activate the insurances.

4 – Change of Names for Group Bookings: If and when, for whatever reason not linked to Trinity TS UK Ltd the Agent will have to change one or more than one of the names of the participants of the group on which insurances have already been activated, Trinity TS UK Ltd will charge the non-refundable listed at point 3.

5 – Cancellations: Any cancellation is so intended when received after the confirmation (in any form of writing) of participation to our Summer Programme. All cancellations received within 45 days prior the arrival on site of the student(s), will only be charged the non-refundable fee(s) listed at points 2 & 3. According to the number of missing days to the arrival of the student(s) on site, Trinity TS UK Ltd will keep the below amounts when receiving official communication(s) of cancellation(s): a) 44 to 30 days prior arrival – 20% of the total due b) 29 to 20 days prior arrival – 50% of the total due; c) 19 to 15 days prior arrival – 70% of the total due; d) 14 to 10 days prior arrival – 85% of the total due; e) less than 10 days prior to arrival or for every non-show, 100% of the total due. Cancellations will have to be communicated via email to your sales person. The counting of the days will start as soon as the written communication will be received and a reply will be sent to the agent/client. Cancellations due to VISA related issues, please refer to point 9.

5a – Cancellations for COVID-19 Related reasons: If not covered by the insurance provider we will be working with by the time of confirmation of your booking, and if not specifically written in an email and therefore agreed with the CEO and/or Managing Director of Trinity UK, no cancellations received because of Covid-19 related reasons (such as – but not only – quarantine, infections, lock-down, travel bans, etc.) will be entitled to reimbursement. Trinity UK will be offering the chance to receive a Voucher with an 18 months validity to be spent for services issued by Trinity UK within the given time. Shall the client refuse the offer of the voucher, normal cancellation fees – as per point 5 – will be applied.

6 – Use of Image & Minor Protection: All our staff is duly checked before they can start working with our students. This is done to make sure all regulations and aspects of safeguarding of minors are adhered to and our students are surrounded by people of trust in a safe environment. All groups leaders travelling with their groups will be asked to fill in a form that Trinity TS UK ltd will provide where they will have to declare their criminal history and their suitability to work with minors. Furthermore, a clean police check document transalted in English will be required from the country of residence for group leaders. During our programmes TrinityTS UK Ltd, or 3rd parties working under Trinity TS UK Ltd’s authorisation, will be takng pictures or will be filming some of the activites for commercial use. Some of the students could be taken in our media material that will be used on our social media channels, as well as used as part of our photo-gallery for commercial use. 7 – Services and Sample Programmes: Trinity TS UK Ltd reserves the right to change the particulars of the services, including changes to courses, timetables, locations, accommodation, facilities and dates of the programmes where circumstances beyond Trinity UK’s control necessitate such changes or where the number of bookings received does not reach the minimum numbers required to operate a course viably. The sample programmes featured in marketing materials are for illustrative purposes and Trinity UK reserves the right to change the details without prior notice.  If the change relates to the location and/or the date of the programme, then a refund will be offered if the alternative location and/or date is not suitable.  Trinity TS UK Ltd will not accept any requests for a change to a Group programme less than 21 days prior to arrival.

8 – Withdrawal Policy: Trinity TS UK Ltd defines withdrawal as termination of a study programme after the start date. This includes any no- shows.  Withdrawal for all students must be made in writing to our Admissions team and no form of reimbursement is foreseen from Trinity TS UK Ltd.

9 – Visas Some students require a student visa or a tourist visa. Students should contact their local embassy, consulate or High Commission for additional information and entry requirements to their country of choice. Arranging the correct visa is the sole responsibility of the student or students’ parent/guardian. Visa support documentation will be provided when we are in receipt of the 25% Group Deposit Fee (group students) or a Visa Deposit Fee (non refundable) of 250 GBP / USD (individual students).  If the programme needs to be deferred due to visa processing delays Trinity UK cannot guarantee that the original allocations will apply and change of dates may incur an additional fee.  Cancellations due to visa refusal will require a copy of visa refusal documentation and will incur the following costs:  documents received 7 days or more prior to arrival a full refund less any courier and enrolment fees, documents received 6 days or less prior to arrival will incur any courier, enrolment fee, 25% Group Deposit Fee or Visa Deposit Fee.  Please ensure you allow enough time for visa processing to help minimise cancellation charges that result from visa refusal Trinity UK Lts cannot be held responsible for decisions taken by embassies or immigration police, regarding entry visas or visa extensions.

10 – Accident, Medical and Travel Insurance: Any medical costs (including transportation and prescription medication) are the responsibility of the individual. It is a condition of making a booking with Trinity TS UK Ltd that all students have appropriate accident, medical and travel insurance, therefore we have decided to include it for all participants. Further and more comprehensive details of what is covered by GuardMe Insurance can be found on the website given at point 1.

11 – Data Protection: Any information provided to Trinity TS UK Ltd may be held on computer and shall be used in accordance with its data protection registration and the national data protection laws applicable. With your consent or where there is a legitimate need or legal obligation to do so, Trinity UK may disclose appropriate personal data, including sensitive personal data of a medical nature, to relevant Trinity UK staff and third parties. We will not share sensitive information about students to any third party without their consent unless there are exceptional circumstances, such as when the health and safety of student and others are at risk or where the law requires us to do so. 12 – Group Leader and additional adults: The minimum age for the lead group leader of Trinity UK’s groups is 21 years.  We are obliged to obtain confirmation that all adults accompanying students hold evidence of their suitability to work with children.  A signed letter of good conduct is required for every group prior to arrival and before admittance is permitted to the centre.

13 -Parental Consent, Health Declaration and Activity Forms: a Parental Consent and Health Declaration form is required for all students who are minors.  A signed and completed Activity Form is required for certain activities.  Forms should be signed, completed and returned, via your agent at least 21 days prior to start date.  Students will only be able to participate in activities if we have parental or guardian consent.  Any student arriving with a condition not previously reported, or which requires regular staff supervision, may be sent home.  Any costs incurred through repatriation will be borne by the student.

14 – Misbehaviour and Expulsion:  Whenever a student or a group leader does not respect the rules of our centres which have been illustrated by our centre manager(s) during the first induction, Trinity UK will send a written report to the student/group leader, their agent and/or family.  Students who have been issued with a written warning and continue to commit offences will be expelled from the centre. Trintiy UK also reserves the right to immediately terminate the programme of any person or group whose behaviour is likely to cause distress, damage or danger to other participants, Trinity UK’s employees or other stakeholders. Trinity UK also reserves the right to immediately terminate the programme of any person or group whose behaviour is sufficiently serious or contrary to applicable local laws. This behaviour includes but is not limited to under-age purchase or consumption of alcohol, possession of illegal substances, any damage to property and threatening, violent or abusive behaviour with students and/or staff. Trinity UK will not be liable for any costs incurred in this process and the cost of repatriation will be at the parent or legal guardians expense.

No refunds will be made for any programme elements missed as a result of such termination.

15 – Resolutions of disputes: if a student, agent or their representative wish to complain about any aspect of the services provided by Trinity UK, such a complaint should be made in writing and reported, in English to the Centre Manager when still on schoolus and not less than 3 days prior departure from schoolus/end of programme. If not resolved, this should be sent to our Managing Director, Raffaele d’Apice – raffaeledapice@trinityukeducation.com – who will then check for possible solutions. Each complaint will be fully investigated provided that it is received within 4 weeks of the study programme end date and that it was initially registered in writing with an on-site representative and all fees have been paid in full. Shall the client/student/agent/group leader fail to allow Trinity UK representatives enough time to offer a solution, or shall the issue not be reported promptly and/or after the group/student(s) have left one of our locations, no complaints will be taken into consideration.

16 – Age range: at programme commencement, the age of the student must fall within the age range specified for their chosen programme.  On occasion, approval may be received to accept a student who does not fall within the age range.  An Out of Age Range form must be completed and sent to the Admissions team prior to arrival.   Group leaders accompany students that enrol with a group and to ensure our individual students are happy and well cared for we provide guardians.  Students are supervised during and after class, activities and excursions.  Night Supervisors are at our centres to make sure that we provide 24-hour support to our students.

17 – Accommodation:  all rooms are guaranteed single-sex.  In residential accommodation, the third/fourth bed maybe a folding be / sofa bed / pull out / bunk bed which is normal practice in residences worldwide.

18 – Damage/Key Deposit: students will be required to pay a deposit of £50 (UK) and $100 (USA) and 50€ (ITA). The deposit will be returned at the end of the student’s stay subject to any damages caused, lost keys or lost travel cards. The full cost of damages in common areas will be charged to relevant groups of students unless the group or individual accepts responsibility. Immediate payment will be required. Damages could also result in the group or individuals being expelled.

19 – Discrimination and Harassment: Trinity TS UK LTd has a zero-tolerance policy for discrimination, bullying and harassment in the workplace and the classroom. Discrimination, bullying or harassment is unacceptable, against the law, and will not be tolerated. Any act of discrimination and/or harassment will result in expulsion.

20 – Liability: Trinity TS UK Ltd and its staff and representatives will not be liable for loss, damage or injury to persons or property howsoever caused, except where liability is expressly imposed by law. Trinity UK will not be liable if any service contracted to be supplied by Trinity UK becomes impossible to supply for any reason or any cause outside the control of Trinity TS UK Ltd.

21 – Force Majeure: Trinity UK will not be responsible for any failure to comply with any of its obligations (and, therefore, shall not be required to provide any compensation) if the failure is occasioned by any cause beyond Trinity UK’s reasonable control; nor shall Trinity UK be responsible for any costs incurred by or on behalf of the student as a result of any such cause. Such causes shall include but shall not be limited to war, the threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster and unusually adverse weather conditions.  Without prejudice to the foregoing, Trinity UK will do its utmost to provide the necessary care of students affected by causes beyond its control; however extra accommodation, transfers, repatriation and any other expenses resulting from such causes are to be borne by the student. In any such case, students might have to be accommodated in emergency accommodation which may not be of the same standard or located in the same geographical area as the accommodation that would otherwise be provided by Trinity UK in terms of its obligations. If, notwithstanding that it has no obligation to do so, Trinity UK covers any costs for which the student is responsible, Trinity UK shall be refunded such costs in full.

22 – General Disclaimer: Trinity UK works with external host providers who provide facilities only and there is no connection with Trintiy UK in terms of operations.

26 – Policies and Procedures: all clients must adhere to our policies and procedures during their stay with Trinity TS UK Ltd.

27 – Extra/Optional services – All extra/optional services must be fully paid upon confirmation. They are non-refundable. Minimum required number to book extra/optional services is 15 students paying and 1 group leader. Some optional may require a minimum number of 50 participants to be provided. Should this minimum requirement not be met, Trinity UK reserves the right to cancel the optional service(s) booked and reimburse the customers.
